1. Introduction

WowCoach, LLC ("WowCoach," "we," "us," or "our"), a Texas limited liability company, owns and operates WowCoach.gg. We are committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service.

By using WowCoach.gg, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree with this Privacy Policy, please do not use our Service.

2. Information We Collect

2.1 Information You Provide

When you use our Service, we may collect the following information that you provide directly:

  • Account Information: Your Battle.net account identifier, BattleTag, and avatar, received when you sign in with Battle.net — plus a display name and default character/realm if you set them. We do not collect or store your email address.
  • Combat Logs: WoW combat log files that you upload to the Service
  • Payment Information: Billing and card details are handled entirely by our third-party payment processor. We never see or store your card number; we store only the processor's customer and subscription reference IDs so we can tell which plan your account is on.
  • Discord (optional): If you choose to link a Discord account, we store your Discord user ID, username, and avatar reference. You can unlink it at any time.
  • Communications: Messages, feedback, and support requests you send to us. If you email us, we necessarily have the address you wrote from, and we use it only to reply.

2.2 Information Collected Automatically

When you access our Service, we automatically collect certain information:

  • Usage Data: Pages viewed, features used, time spent on the Service, and navigation patterns. For signed-in users this activity is associated with your account so we can understand feature usage and improve the Service.
  • Referral and Campaign Data: The website that linked you to us (your browser's referrer) and any campaign tags present in the link you followed (utm_source, utm_medium, utm_campaign)
  • Approximate Location: The country your request reached our content delivery network from. We resolve this at the network edge and store only the two-letter country code — we do not store your IP address alongside it, and we do not determine your city or precise location.
  • Device Information: Browser type and operating system, as reported by your browser
  • Cookies: We use cookies to keep you signed in and to remember your preferences. We do not use advertising or cross-site tracking cookies.

2.2.1 Analytics for Visitors Who Are Not Signed In

We measure traffic from visitors who have not signed in, so we can understand how people find WowCoach.gg. This measurement is deliberately designed so that it does not identify you and does not follow you:

  • Nothing is stored on your device. We do not set a cookie, write to local storage, or place any identifier on your browser for analytics purposes.
  • We do not store your IP address. To count a visitor more than once within a single day, our server combines your IP address and browser user-agent with a secret value and a date, converts the result into a one-way fingerprint, and discards the inputs. The IP address and user-agent are never written to storage.
  • The fingerprint changes every day. Because the current date is part of the calculation, the same visitor produces a different value tomorrow. We cannot link your visits across days, and we cannot link them to visits on any other website.
  • It is not linked to your account. If you later sign in, we have no way to connect your earlier anonymous visits to your account.
  • It is deleted automatically. All analytics records are removed after 90 days.

This is first-party analytics only. Your browsing is not sent to Google Analytics or any other third-party analytics or advertising network.

2.3 Information from Third Parties

We may collect information from third-party services:

  • Battle.net API: Character data, realm information, gear, talents, and achievements
  • Authentication Providers: Account verification information when you log in through third-party services

3. How We Use Your Information

We use the information we collect for the following purposes:

  • Provide the Service: Parse combat logs, generate performance reports, and display analytics
  • AI Coaching: Analyze gameplay data to provide personalized coaching recommendations
  • Leaderboards: Rank players and display public performance statistics
  • Account Management: Create and manage your account, process subscriptions, and provide customer support
  • Improvement and Development: Analyze usage patterns to improve features and develop new functionality
  • Communications: Show service-related notices and product updates in the Service's own notification center, and — only if you have linked Discord — send notifications there. Because we do not store your email address, we cannot and do not send you marketing email.
  • Security: Detect and prevent fraud, abuse, and security incidents
  • Legal Compliance: Comply with legal obligations and enforce our Terms and Conditions

4. How We Share Your Information

We may share your information in the following circumstances:

4.1 Public Information

The following information is publicly displayed on our Service:

  • Character names and performance statistics
  • Combat log data and fight reports
  • Leaderboard rankings
  • Guild affiliations and raid compositions

Note: In accordance with Blizzard Entertainment's policies, character names and game data are owned by Blizzard and are not considered personal information.

4.2 Service Providers

We share information with trusted third-party service providers who assist us in operating the Service:

  • AWS (Amazon Web Services): Cloud hosting, storage, and content delivery
  • AWS Bedrock: AI/ML processing for coaching features
  • Payment Processors: Subscription billing and payment processing

We do not use third-party analytics or advertising providers. All usage measurement described in Section 2.2 is performed on our own infrastructure, and no browsing data is shared with an analytics network.

4.3 Legal Requirements

We may disclose your information if required to do so by law or in response to:

  • Legal proceedings, court orders, or government requests
  • Protection of our rights, property, or safety
  • Investigation of fraud or security incidents
  • Enforcement of our Terms and Conditions

4.4 Business Transfers

In the event of a merger, acquisition, or sale of assets, your information may be transferred to the acquiring entity.

5. Gameplay Video Capture

Our desktop application can record short video clips of your encounters and upload them so you can review a pull alongside its combat log analysis. This is an optional feature available on paid plans. It is off until you turn it on, and you can turn it off at any time.

5.1 What Is Recorded

  • The World of Warcraft game window only. Capture is scoped to the game process. We do not record your full desktop, other applications, browser windows, other monitors, or your webcam.
  • Video only — no audio. We do not capture microphone input, voice chat, or system sound. Clips have no audio track.
  • No window titles. We deliberately do not collect window titles, because they routinely contain file paths and other unrelated information.
  • Technical metadata: clip duration, resolution, frame rate, video codec, the game process name, and timing values used to align the video with the corresponding combat log encounter.

Because a clip is a recording of your game window, it will show whatever was on screen in that window at the time — including in-game chat and any addons you were running. Please keep that in mind when enabling capture and when choosing to share a clip.

5.2 Who Can See Your Clips

  • Your clips are private to your account. Every request for a clip is checked against the account that uploaded it. A clip that is not yours is not returned.
  • Playback uses short-lived, signed links. A viewing link is generated only when you actually play a clip and expires after a few minutes. Clips are not publicly accessible and are not indexed.
  • Unlike combat log statistics, video clips are never published to leaderboards or shown on public report pages.

5.3 Retention and Deletion

  • Clips expire automatically. An unprotected clip is retained for a limited review window — 14 days on the standard plan, and longer on higher tiers — after which it is deleted.
  • Storage limits. Each account has a storage allowance. When it is reached, the oldest unprotected clips are removed first.
  • You can mark a clip as protected to keep it beyond the normal expiry window.
  • You can delete any clip at any time from the application, which removes both the stored video and its metadata.

5.4 Your Control

Video capture is opt-in and can be disabled in the desktop application at any time. Disabling it stops all future recording and uploading; clips already uploaded remain until they expire or you delete them. To request deletion of all of your clips at once, contact us at privacy@wowcoach.gg.

6. Data Retention

We retain your information for as long as necessary to provide the Service and fulfill the purposes described in this Privacy Policy:

  • Account Data: Retained while your account is active and for a reasonable period after deletion
  • Combat Logs: Stored indefinitely to maintain historical leaderboards and analytics
  • Gameplay Video Clips: Deleted when their retention window expires — 14 days on the standard plan, longer on higher tiers — unless you mark a clip as protected. See Section 5.3.
  • Analytics Data: Page views and usage events, whether signed in or anonymous, are automatically deleted after 90 days
  • Aggregated Analytics: Anonymized and aggregated statistics may be retained indefinitely

You may request deletion of your account and associated data by contacting us at privacy@wowcoach.gg. Note that publicly displayed combat log data may remain visible after account deletion.

7. Data Security

We implement industry-standard security measures to protect your information:

  • Encryption of data in transit (HTTPS/TLS)
  • Encryption of sensitive data at rest
  • Secure authentication and access controls
  • Regular security audits and monitoring

However, no method of transmission over the internet or electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.

8. Your Privacy Rights

Depending on your jurisdiction, you may have the following rights:

  • Access: Request access to the personal information we hold about you
  • Correction: Request correction of inaccurate or incomplete information
  • Deletion: Request deletion of your personal information (subject to legal obligations)
  • Data Portability: Request a copy of your data in a machine-readable format
  • Objection: Object to processing of your personal information for certain purposes
  • Opt-Out: Unlink Discord at any time to stop notifications there. We do not send marketing email, because we do not store email addresses.

9. Cookies and Tracking Technologies

We use cookies for two purposes only:

  • Keeping you signed in. A session cookie maintains your authenticated session after you sign in with Battle.net.
  • Remembering your preferences. Settings you choose, so the Service behaves consistently between visits.

Both are strictly necessary to provide features you have asked for. We do not use advertising cookies, cross-site tracking cookies, tracking pixels, or device fingerprinting for advertising, and we do not sell or share data with advertising networks.

Analytics does not use cookies. We do not use Google Analytics or any other third-party tracking service. Our usage measurement runs on our own servers and stores nothing on your device — no analytics cookie, no local storage entry, no persistent identifier. Section 2.2.1 describes exactly how visitors are counted without identifying them.

Because we set no analytics or advertising cookies and store no identifier on your device for measurement, we do not present a cookie consent banner. The only cookies we set are the strictly necessary ones described above.

You can control cookies through your browser settings. Blocking our session cookie will prevent you from staying signed in.

10. Children's Privacy

Our Service is not directed to children under 13 years of age. We do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe your child has provided us with personal information, please contact us at privacy@wowcoach.gg, and we will delete such information.

11. International Data Transfers

Your information may be transferred to and processed in countries other than your country of residence. These countries may have different data protection laws. By using our Service, you consent to the transfer of your information to our facilities and service providers.

12. California Privacy Rights (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA):

  • Right to know what personal information we collect, use, and disclose
  • Right to request deletion of your personal information
  • Right to opt-out of the sale of personal information (we do not sell personal information)
  • Right to non-discrimination for exercising your privacy rights

13. European Privacy Rights (GDPR)

If you are a resident of the European Economic Area (EEA), you have rights under the General Data Protection Regulation (GDPR):

  • Right to access, rectify, and erase your personal data
  • Right to restrict or object to processing
  • Right to data portability
  • Right to withdraw consent at any time
  • Right to lodge a complaint with a supervisory authority

Our legal basis for processing your personal data includes: performance of a contract, legitimate interests, and consent.

14. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by:

  • Updating the "Last Updated" date at the top of this page
  • Publishing a notice to the notification center inside the Service, which is shown to signed-in users
  • Posting a notice on the Service

We do not notify you by email, because we do not store your email address.

Your continued use of the Service after such modifications constitutes acceptance of the updated Privacy Policy.
