Privacy Policy

1. Introduction

WowCoach, LLC ("WowCoach," "we," "us," or "our"), a Texas limited liability company, owns and operates WowCoach.gg. We are committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service, including the website, the WowCoach desktop app, our Discord bot, and the WowCoach connector for AI assistants.

By using WowCoach.gg, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree with this Privacy Policy, please do not use our Service.

2. Information We Collect

2.1 Information You Provide

When you use our Service, we may collect the following information that you provide directly:

• Account Information: Your Battle.net account identifier and BattleTag, received when you sign in with Battle.net — plus a display name and default character/realm if you set them. We do not collect or store your email address.
• App Review Accounts: For reviewers of the WowCoach app in AI assistant app directories, we keep a few review accounts. For each we store a one-way hash of its username, a salted hash of its password (never the password itself), one-way hashes of its sign-in sessions, its usage counts and its revocation records. Review accounts hold only anonymized example logs and are not linked to any player's or Battle.net account. Sessions and usage counts expire within two days; the other records are kept until we retire the account.
• Combat Logs: WoW combat log files that you upload on the website or with the desktop app, including the logs of individual pulls the desktop app sends during live analysis
• Questions to Coach Clutch and AskLogs: The questions you ask our AI features and the answers we generate
• Payment Information: Billing and card details are handled entirely by our third-party payment processor. We never see or store your card number; we store only the processor's customer and subscription reference IDs so we can tell which plan your account is on.
• Discord (optional): If you link a Discord account with our Discord bot's /link command, we store your Discord user ID and username. Using /unlink in a Discord server stops your notifications in that server. To remove the link from your account completely, unlink Discord from your profile page.
• Communications: Messages, feedback, and support requests you send to us, including the question and answer when you rate an AI answer. If you email us, we necessarily have the address you wrote from, and we use it only to reply.

2.2 Information Collected Automatically

When you access our Service, we automatically collect certain information:

• Usage Data: Pages you view and features you use. For signed-in users this activity is associated with your account so we can understand feature usage and improve the Service.
• Referral and Campaign Data: The website that linked you to us (your browser's referrer) and any campaign tags present in the link you followed (utm_source, utm_medium, utm_campaign)
• Approximate Location: The country your request reached our content delivery network from, as a two-letter country code. We do not determine your city or precise location.
• Server Logs: Our servers log each request for security and debugging: the address requested, the time, your account ID if you are signed in, your browser's user-agent (browser type and operating system), the referring site, and your country. These logs are deleted after 14 days.
• Cookies: We use cookies to keep you signed in. We do not use advertising or cross-site tracking cookies. See Section 10.

2.2.1 Analytics for Visitors Who Are Not Signed In

We measure traffic from visitors who have not signed in, so we can understand how people find WowCoach.gg. This measurement is deliberately designed so that it does not identify you and does not follow you:

• Nothing is stored on your device. We do not set a cookie, write to local storage, or place any identifier on your browser for analytics purposes.
• Our analytics records do not contain your IP address. To count a visitor only once within a single day, our server combines your IP address and browser user-agent with a secret value and a date, converts the result into a one-way fingerprint, and discards the inputs. The IP address and user-agent are not written to the analytics records.
• The fingerprint changes every day. Because the current date is part of the calculation, the same visitor produces a different value tomorrow. Our analytics cannot link your visits across days, or to visits on any other website.
• It is not linked to your account. If you later sign in, our analytics has no way to connect your earlier anonymous visits to your account.
• It is deleted automatically. Anonymous visit records are removed after 90 days.

Separately, the server logs described in Section 2.2 cover every request, including from visitors who are not signed in, and are deleted after 14 days.

This is first-party analytics only. Your browsing is not sent to Google Analytics or any other third-party analytics or advertising network. Pages do load spell and item tooltips and icons from Wowhead (wow.zamimg.com), so your browser connects to Wowhead's servers, which receive your IP address and browser details under Wowhead's own privacy policy.

2.3 Information from Third Parties

We may collect information from third-party services:

• Battle.net Sign-In: Your account identifier and BattleTag when you sign in
• Battle.net API: The World of Warcraft characters on your account (name, realm, region, class, race, level, faction, and guild), and public character data such as gear, talents, Mythic+ rating, and PvP summary

3. How We Use Your Information

We use the information we collect for the following purposes:

• Provide the Service: Parse combat logs, generate performance reports, and display analytics
• AI Coaching: Analyze gameplay data and your questions to provide personalized coaching recommendations
• Statistics and Leaderboards: Build anonymous aggregate statistics, such as performance percentiles by spec and boss
• Connected AI Assistants: Answer requests from AI assistants you connect, and apply plan and usage limits (see Section 6)
• Account Management: Create and manage your account, process subscriptions, and provide customer support
• Improvement and Development: Analyze usage patterns to improve features and develop new functionality
• Communications: Show service-related notices and product updates in the Service's own notification center, and — only if you have linked Discord — post notifications to the Discord server channels set up with our bot. Because we do not store your email address, we cannot and do not send you marketing email.
• Security: Detect and prevent fraud, abuse, and security incidents
• Legal Compliance: Comply with legal obligations and enforce our Terms and Conditions

4. How We Share Your Information

We may share your information in the following circumstances:

4.1 Reports and Public Information

When you upload a combat log, you choose who can see the report:

• Private: You. If you are on a guild plan, other members of that guild plan can also open it.
• Guild: Members of the guilds you share it with
• Public: Anyone, without signing in

A report shows everyone in the log: character names, classes, performance statistics, and fight events, plus the uploader's BattleTag. You can change a report's visibility later. In addition:

• Live session pages from the desktop app can be opened by anyone who has the link.
• Leaderboards and top-player benchmarks (such as what the best players of a spec do on a boss) are anonymous aggregates built from all uploaded logs, including private ones. They never show a player's name, guild or report, and a number appears only when at least 10 players from 5 different logs are behind it.
• If you link Discord and our bot is set up in a server, kill, wipe, and session posts there can include your BattleTag, character names, and AI summaries, and are visible to members of that channel.

Note: In accordance with Blizzard Entertainment's policies, character names and game data are owned by Blizzard and are not considered personal information.

4.2 Service Providers

We share information with trusted third-party service providers who assist us in operating the Service:

• AWS (Amazon Web Services): Cloud hosting, storage, content delivery, and our internal email
• OpenAI: Generates Coach Clutch answers, AskLogs results, wipe analysis, and our other AI features. We send it your question, recent turns of the conversation, and the combat data the answer needs, which includes character names from the log.
• Payment Processor (Stripe): Subscription billing and payment processing
• GitHub: Hosts our code and our private error reports, which can include an account ID or BattleTag

We do not use third-party analytics or advertising providers. All usage measurement described in Section 2.2 is performed on our own infrastructure, and no browsing data is shared with an analytics network.

4.3 AI Assistants You Connect

If you connect an AI assistant to WowCoach, the data it requests is sent to that assistant, and so to the company that runs it, at your direction. See Section 6.

4.4 Legal Requirements

We may disclose your information if required to do so by law or in response to:

• Legal proceedings, court orders, or government requests
• Protection of our rights, property, or safety
• Investigation of fraud or security incidents
• Enforcement of our Terms and Conditions

4.5 Business Transfers

In the event of a merger, acquisition, or sale of assets, your information may be transferred to the acquiring entity.

4.6 World of Warcraft: Forever Logs

World of Warcraft: Forever combat logs uploaded through WowCoach.gg or the WowCoach desktop app are forwarded to WowCoach Forever for processing under the same Battle.net account. The transfer includes the log file, your Battle.net account identifier, the file name and, when available, your BattleTag. See the WowCoach Forever Privacy Policy for how that service handles your data.

5. Gameplay Video Recording

Our desktop application can record your boss pulls so you can replay them alongside the combat log analysis. This is an optional feature for Pro and higher plans. It is off until you turn it on, and you can turn it off at any time.

5.1 What Is Recorded

• The World of Warcraft game window only. Capture is scoped to the game process. We do not record your full desktop, other applications, browser windows, other monitors, or your webcam. Capture stays off outside supported raids, dungeons, Timewalking, and Mythic+ sessions.
• Video only — no audio. We do not capture microphone input, voice chat, or system sound. Recordings have no audio track.
• No window titles. We deliberately do not collect window titles, because they routinely contain file paths and other unrelated information.

Because a recording is of your game window, it will show whatever was on screen in that window at the time — including in-game chat and any addons you were running. Please keep that in mind when choosing to share one.

5.2 Where Recordings Are Kept

• Recordings stay on your PC. The desktop app saves them on your computer. WowCoach does not upload gameplay video to our servers.
• Automatic cleanup. The app keeps your recordings within 10 GB, removing the oldest ones first.
• Favorites are kept. Mark a recording as a Favorite to protect it from automatic cleanup.
• You can delete any recording at any time from the desktop app.

6. Connected AI Assistants

The WowCoach connector lets you use WowCoach from an AI assistant you choose, such as Claude, ChatGPT, Codex, Cursor, or Claude Code. You sign in with Battle.net on WowCoach's own page, so your assistant never sees your Battle.net password. (App reviewers we invite sign in there with review credentials instead.) Your assistant can read accessible logs, coaching and guides. Some tools also prepare and cache coach cards or refresh character summaries. AskLogs uses AI and your existing allowance. It cannot upload, change, share or delete combat logs.

• What leaves WowCoach. When your assistant requests data, such as a report summary, coaching, or an AskLogs answer, we send that data to your assistant at your direction. From there it is handled by the company that runs your assistant under its own terms and privacy policy, not ours.
• What we see. We receive the requests your assistant sends to WowCoach, such as which log and what question. We do not see the rest of your conversation with your assistant.
• What we record. Which assistant connected (by the name it registered with), when it connected and disconnected, and for each request, which WowCoach tool it used, whether it succeeded, how long it took, and your plan at the time. We use these records to apply plan and usage limits, to help you when something goes wrong, and to decide what to improve.
• Sign-in tokens. We store your assistant's access tokens only as one-way hashes. Access tokens expire after one hour. Refresh tokens expire after 30 days unless your assistant renews them, and each one can be used only once. Expired tokens are deleted automatically.
• Disconnect any time. Go to Profile, then Connected apps, and click Disconnect. This revokes the assistant's tokens, and access stops within a minute.

7. Data Retention

We retain your information for as long as necessary to provide the Service and fulfill the purposes described in this Privacy Policy:

• Account Data: Retained while your account is active and for a reasonable period after deletion
• Combat Logs and Reports: Stored indefinitely to maintain your report history, statistics, and leaderboards. This includes completed live sessions from the desktop app.
• Coach Clutch Conversations: Conversations are kept for 90 days after they start. Full records of each answer (your question, the data sent to the AI, and its answer) are kept for one year for debugging and quality review. Notes the coach keeps about your play expire 60 days after they were last updated.
• AskLogs History: Kept for 90 days unless you mark an entry as a favorite. You can delete entries yourself.
• Gameplay Recordings: Kept on your PC, not by us. See Section 5.2.
• Connected AI Assistant Records: Daily usage counts are kept for about 400 days, the list of individual requests for 30 days, and each connection's record for about 400 days after its last activity. Sign-in tokens are deleted automatically after they expire (see Section 6).
• Analytics Data: Page views and usage events, whether signed in or anonymous, are automatically deleted after 90 days. For signed-in users, we also keep a running summary with your account: your total views and events, up to four pages you visited recently, and the dates of your first and latest visits. This summary is deleted 90 days after your last visit.
• Server Logs: Deleted after 14 days
• Aggregated Analytics: Anonymized and aggregated statistics may be retained indefinitely

You may request deletion of your account and associated data by contacting us at privacy@wowcoach.gg. Note that publicly displayed combat log data may remain visible after account deletion, and logs you uploaded may continue to count toward anonymous aggregate statistics.

8. Data Security

We implement industry-standard security measures to protect your information:

• Encryption of data in transit (HTTPS/TLS)
• Encryption of stored data at rest
• Secure authentication and access controls
• Monitoring and alerting on our systems

However, no method of transmission over the internet or electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.

9. Your Privacy Rights

Depending on your jurisdiction, you may have the following rights:

• Access: Request access to the personal information we hold about you
• Correction: Request correction of inaccurate or incomplete information
• Deletion: Request deletion of your personal information (subject to legal obligations)
• Data Portability: Request a copy of your data in a machine-readable format
• Objection: Object to processing of your personal information for certain purposes
• Opt-Out: Use /unlink in a Discord server to stop notifications there, or unlink Discord from your profile page to remove the link entirely. We do not send marketing email, because we do not store email addresses.

10. Cookies and Tracking Technologies

We use cookies for one purpose only:

• Keeping you signed in. Two sign-in cookies, one for the website and one for our API, maintain your session after you sign in with Battle.net. They last up to 30 days.

Settings you choose, such as display options and filters, are saved in your browser's local storage so the Service behaves consistently between visits. They stay on your device.

These are strictly necessary to provide features you have asked for. We do not use advertising cookies, cross-site tracking cookies, tracking pixels, or device fingerprinting for advertising, and we do not sell or share data with advertising networks.

Analytics does not use cookies. We do not use Google Analytics or any other third-party tracking service. Our usage measurement runs on our own servers and stores nothing on your device — no analytics cookie, no local storage entry, no persistent identifier. Section 2.2.1 describes exactly how visitors are counted without identifying them.

Because we set no analytics or advertising cookies and store no identifier on your device for measurement, we do not present a cookie consent banner. The only cookies we set are the strictly necessary ones described above. The Wowhead tooltip script described in Section 2.2.1 is provided by Wowhead and is covered by Wowhead's own privacy policy.

You can control cookies through your browser settings. Blocking our sign-in cookies will prevent you from staying signed in.

11. Children's Privacy

Our Service is not directed to children under 13 years of age. We do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe your child has provided us with personal information, please contact us at privacy@wowcoach.gg, and we will delete such information.

12. Where Your Data Is Stored

We store and process your data on Amazon Web Services in the United States. Our service providers, and any AI assistant you connect, may process data in other countries. These countries may have different data protection laws. By using our Service, you consent to the transfer of your information to our facilities and service providers.

13. California Privacy Rights (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA):

• Right to know what personal information we collect, use, and disclose
• Right to request deletion of your personal information
• Right to opt-out of the sale of personal information (we do not sell personal information)
• Right to non-discrimination for exercising your privacy rights

14. European Privacy Rights (GDPR)

If you are a resident of the European Economic Area (EEA), you have rights under the General Data Protection Regulation (GDPR):

• Right to access, rectify, and erase your personal data
• Right to restrict or object to processing
• Right to data portability
• Right to withdraw consent at any time
• Right to lodge a complaint with a supervisory authority

Our legal basis for processing your personal data includes: performance of a contract, legitimate interests, and consent.

15. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by:

• Updating the "Last Updated" date at the top of this page
• Publishing a notice to the notification center inside the Service, which is shown to signed-in users
• Posting a notice on the Service

We do not notify you by email, because we do not store your email address.

Your continued use of the Service after such modifications constitutes acceptance of the updated Privacy Policy.
